How to renew a post office box in Kenya?

Postal Offices are a thing of the past when it comes to communication, but still, with the modernity in Kenya, they are still evidently essential. Owning a Postal Box today is your business identity, your communication lifeline, and often a requirement for official documentation in Kenya. But what happens when the expiry date approaches?

If you own a P.O. Box with Posta Kenya and want to renew it, the process is actually much more straightforward, as you can almost do it yourself from your own Smartphone, as long as you know the proper method to follow.

Post Office Box Renewal in Kenya

Post office boxes in Kenya operate on an annual subscription basis, whereby you have the option to choose if you want to pay for 12 months, 24 months, etc. If you are a Box holder, you must renew before expiration to maintain uninterrupted mail services. If you miss the renewal deadline, it means your box becomes inactive, and you’ll lose access to incoming mail until payment is processed.

The Postal Corporation of Kenya sends renewal notices approximately 30 days before expiry. These reminders come via SMS to your registered mobile number or through email if you provided one during registration. However, it remains your responsibility to track renewal dates regardless of notification delivery.

Renewal Timeline and Grace Periods

Box renewal opens 60 days before your expiry date. Early renewal doesn’t forfeit remaining days; your new subscription period starts after the current one ends. Late renewals attract penalties beyond the standard fees.

Here’s what you need to know about timing:

  • Renewal window opens 2 months before expiry
  • Grace period extends 14 days after expiration
  • Penalties apply for renewals beyond the grace period
  • Boxes inactive for 3+ months may be reassigned

Online Post Office Box Renewal Process

Here is how you can can easily renew your Posta Kenya physical Box:

Access the Renewal Portal

Visit the official Posta Kenya renewal portal at apps.posta.co.ke/boxupdate/renew. This is the only authorized platform for online renewals.

Search Your Box

Enter your box number and select your post office location from the dropdown menu. The system will display your current box status, registration details, and exact expiry date.

Verify Box Information

Confirm that displayed details match your records:

  • Box number and post office location
  • Registered customer name
  • Registration type (Individual/Corporate)
  • Current expiry date
  • Box status (Active/Inactive)

Select Renewal Period

Choose your renewal duration. Posta Kenya offers flexible subscription periods:

  • 1 Year renewal
  • 2 Years renewal
  • 3 Years renewal

Longer subscriptions may offer slight cost advantages and reduce annual renewal hassles.

Complete Payment

The payment process is done via M-Pesa. The system will require you to enter your M-Pesa number. When you click pay, you will be prompted to enter your M-Pesa PIN number and Pay.
